1. Introduction

This Privacy Policy explains how Conexello collects, uses, stores and protects personal information when you use our website, platform, services, and embedded quote widget.

In the future, Conexello may operate through Conexello Limited following company registration.

For the purposes of applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Conexello acts as a data controller for personal data relating to our own customers and users.

Where Conexello processes customer lead information submitted through a cleaning business customer's widget, Conexello generally acts as a data processor, while the cleaning business remains the data controller.

2. Information We Collect

2.1 Account Information

When you create a Conexello account, we may collect:

  • First name
  • Last name
  • Email address
  • Business name
  • Optional telephone number

We do not require a telephone number to create an account.

We do not collect payment card details directly.

Payment information is processed by our payment provider, Paddle.

2.2 Subscription and Payment Information

Payments and subscriptions are handled by:

Paddle

Paddle acts as the merchant of record for payments.

Conexello may receive limited billing information necessary to manage your subscription, such as:

  • subscription status,
  • plan information,
  • transaction references,
  • billing status.

Conexello does not store your full payment card details.

2.3 Lead Information Collected Through Widgets and Shareable Quote Links

When a visitor submits a quote request through a Conexello widget embedded on a cleaning business website, or through a shareable Conexello quote link, our systems store the following information on behalf of that cleaning business:

  • name;
  • email address;
  • telephone number;
  • postcode;
  • property details used to calculate the quote: property type and size, number of bedrooms, bathrooms and reception rooms, floor type, level of cleaning required, pets, parking, extras and any unusual rooms;
  • cleaning frequency and the preferred date and time slot;
  • any notes or additional information the visitor chooses to submit;
  • the calculated quote figures and the resulting booking or appointment, if one is created;
  • the web address of the page the request was submitted from (the referring URL).

We do not ask for and do not intentionally collect payment card details, identity documents or any special category data (such as health data) through the quote form.

This information is collected on behalf of the cleaning business using Conexello.

The cleaning business is responsible for:

  • having an appropriate privacy notice,
  • informing their customers about data processing,
  • ensuring they have a lawful basis for collecting and using lead information.

Conexello provides the technology to collect and manage this information but does not decide why the cleaning business uses these leads.

2.4 Email and Communications Data

Conexello sends transactional emails, such as account and authentication emails, quote confirmations to the person who requested a quote, and new-lead notifications to the cleaning business. To operate this reliably we keep:

  • a delivery log containing the recipient email address, the template used, the delivery status, the provider message reference and any error returned;
  • a unique unsubscribe token linked to an email address, so that unsubscribe links work without needing an account;
  • a suppression list of email addresses that have unsubscribed or that produced a bounce or spam complaint, so that we stop emailing them.

Emails are sent from our notification domain (notify.conexello.com) through our email delivery infrastructure. We do not use lead email addresses for our own marketing.

2.5 Technical and Anti-Abuse Information

To keep the service secure and to stop spam and automated abuse, our systems process:

  • your IP address, used to apply rate limits on public endpoints. The IP address is used to form a short-lived counter record; we do not store it against your lead or account record;
  • a short-lived counter based on the widget and submitted email address, used to detect duplicate submissions;
  • hidden anti-bot signals in the quote form, such as an unused decoy field and how long the form took to complete;
  • authentication and session data required to keep you signed in;
  • server and application logs generated by our hosting and database providers, which may include technical request data such as IP address and browser type.

We do not build advertising or behavioural profiles, and we do not sell any personal information.

3. How We Use Personal Information

We use personal information to:

  • create and manage user accounts,
  • provide Conexello services,
  • process subscriptions,
  • provide customer support,
  • maintain and improve the platform,
  • communicate important service information,
  • prevent fraud and abuse,
  • comply with legal obligations.

Where you provide marketing consent, we may also use your information to send:

  • product updates,
  • offers,
  • marketing communications.

You can unsubscribe from marketing communications at any time.

4. Legal Bases for Processing

We process personal information under the following legal bases:

5. Data Processing for Cleaning Business Leads

Conexello provides software that allows cleaning businesses to collect quote requests and customer enquiries.

For lead data:

  • The cleaning business is the data controller.
  • Conexello is the data processor.

The cleaning business determines:

  • why data is collected,
  • how it is used,
  • how long it should be retained.

Conexello processes this information only to provide the service.

Cleaning businesses are responsible for complying with their own data protection obligations.

6. Service Providers

We use trusted third-party providers to operate Conexello.

These may include:

Supabase

Used for database hosting, authentication and application infrastructure.

Paddle

Merchant of record for subscription payments and billing. Paddle collects payment details directly from you; we receive only subscription status, plan, customer and subscription references and billing period dates.

Lovable

Application hosting and infrastructure, and the email delivery infrastructure used to send our transactional and notification emails (including account emails, quote confirmations and new-lead alerts). Email content, recipient address and delivery status are processed for that purpose.

Zoho Mail

Hosts our support and contact mailboxes, so any email you send to us is stored there.

123-reg

Used for domain services.

Microsoft Clarity

Used for website analytics, heatmaps and session replay so we can improve our website. Microsoft Clarity is loaded only where you have accepted analytics cookies in our cookie banner. It may collect information such as pages viewed, clicks, scrolling, approximate location derived from IP address, device and browser type. Clarity masks text input by default. Data may be transferred outside the UK/EEA under appropriate safeguards. Legal basis: consent. See the Microsoft Privacy Statement.

Google Search Console

Used to monitor how our website performs in Google Search. Google Search Console provides us with aggregated statistics only (such as search queries, impressions and clicks) and does not identify individual visitors. Site ownership is verified using a meta tag in our page source. Legal basis: legitimate interests in maintaining and improving our website.

These providers process information only as necessary to provide their services.

7. Data Storage and Security

Conexello takes reasonable measures to protect personal information against:

  • unauthorised access,
  • loss,
  • misuse,
  • alteration.

Access to customer information is limited to what is necessary to provide and support the service.

No online service can guarantee absolute security, but we work to maintain appropriate technical and organisational protections.

8. Data Retention

We retain personal information only for as long as necessary for the purposes described in this Privacy Policy.

You can export your data or permanently delete your account at any time from Settings in your Conexello dashboard. Deleting an account as the business owner cancels any active subscription with Paddle and removes the company record together with its leads, appointments, widgets, availability settings, billing records, team roles and profiles, and the sign-in account itself. Where you are a team member rather than the owner, deleting your account removes your profile and access only.

Some information may be retained where required by law, such as financial and tax records.

9. Your Rights

Under UK GDPR, you may have rights including:

  • access to your personal information,
  • correction of inaccurate information,
  • deletion of information,
  • restriction of processing,
  • objection to processing,
  • data portability,
  • withdrawal of consent.

10. Lead Data Requests

If you submitted your information through a Conexello widget on a cleaning business website, requests relating to that information should normally be directed to the cleaning business that collected your information.

The cleaning business controls how that information is used.

11. Marketing Communications

If you provide marketing consent, you agree to receive:

"I agree to receive product updates, offers and marketing communications from Conexello. I can unsubscribe at any time."

You can unsubscribe at any time using the unsubscribe option included in communications or by contacting us.

12. Cookies

Conexello uses cookies and similar technologies that are strictly necessary for operating the service, such as authentication and session functionality. These do not require consent.

In addition, we use Microsoft Clarity for website analytics. These analytics technologies are only loaded where you have given consent through our cookie banner, and you can reject them at any time. We also use Google Search Console, which does not set cookies on your device through our website.

Conexello does not use:

  • Google Analytics,
  • Meta Pixel,
  • advertising tracking technologies.

13. International Transfers

Some service providers may process information outside the United Kingdom.

Where this occurs, Conexello takes steps to ensure appropriate safeguards are in place as required by applicable data protection laws.

14. Children's Data

Conexello is intended for business users.

You must be at least 18 years old to create a Conexello account.

We do not knowingly collect personal information from children.
